Supplier Catalogs

We’ve introduced the Supplier Catalog feature! You can now maintain a full list of everything a supplier offers, even if you don't currently stock or purchase those items.
This allows you to keep supplier price lists and offerings on hand for future reference, without cluttering your actual active Inventory.
Here is a complete guide on how to manage catalogs, link items, and purchase directly from supplier lists.
1. Managing a Supplier's Catalog
To access a catalog, open any Supplier record and click on the new Catalog tab.
From this tab, you can:
Import/Create: Upload a full catalog via CSV import, or create items manually.
Filter & Search: Quickly find items by Catalog Number, Name, or Status.
Track Activity: View a complete history log of when catalog items were added, updated, or deleted.
Understanding Catalog Item Statuses
You can assign different statuses to catalog items to keep your lists organized:
Active: You are interested in this item (even if you aren't currently buying it).
Inactive: Hides the item from your immediate view if you aren't interested, while keeping the data safely stored.
Discontinued: Marks items the supplier no longer provides.
2. Converting a Catalog Item into an Inventory Item
If you decide to start stocking an item from a supplier's catalog, you can convert it into an active Inventory Item with a single click.
1. Open the Supplier Catalog and select the item.
2. Click Create Inventory Item.
3. You will be prompted to enter an Asset ID (or you can let the system auto-generate one).
What syncs during conversion?
To keep your internal inventory data clean, the system will only copy the Name of the catalog item.
Why no Description? Supplier descriptions often include marketing fluff or irrelevant details that don't fit your internal warehouse needs.
Why no Cost? The true cost is calculated dynamically when you actually create a Purchase Order.
Once created, the system permanently links the new Inventory Item to the original Supplier Catalog Item. A link button will appear in the table so you can easily jump to the active inventory record.
3. Linking Existing Inventory to the Catalog
If you already have items in your inventory, you can link them to a supplier's catalog directly from the Item Details page.
1. Go to an Inventory Item and locate the Supplier box.
2. Click to link a catalog item. A modal will pop up.
3. Search & Select: Find an existing, unlinked catalog item from that supplier's list.
4. Quick Add: If the item isn't in the catalog yet, just type the new Catalog Number. The system will automatically add it to the supplier's catalog and link it for you.
Note: You can disconnect a link at any time using the disconnect button in this same modal. Once linked, you can easily copy the catalog number or click to navigate straight to the supplier's catalog.
4. Purchasing Directly from the Catalog
You no longer have to create an inventory item before you can order it. You can now add unlinked catalog items directly to a Purchase Order (PO)!
Adding to a PO: When adding line items to a PO, switch to the Catalog Tab in the modal. You can search by Name or Catalog Number to add them directly to the order.
Receiving the PO: If your PO contains catalog items that aren't in your inventory yet, the system will show a confirmation message. Once you click "Receive," AssetBlaze will automatically create those new Inventory Items for you.
Visual Outlines: In the PO line items table, catalog items are clearly outlined with their catalog number and a quick-link button to connect them to inventory.
5. Searching & Tracking
Global Search: You can now use the top search bar to find anything by Catalog Number. The results will show both the raw Catalog Items and any active Inventory Items linked to that number.
Activity Logs: Note that detailed activity logs for catalog updates (like changing a catalog number) are kept cleanly inside the specific Catalog tab. Your main Dashboard Activity feed will keep things high-level, simply showing "Updated Suppliers" to prevent your main feed from getting cluttered.
